We are developing a centralised internal library of Power Automate Flows.
Power Automate is a cloud-based service, part of the M365 suite of applications, in which you can create automated workflows. A flow in Microsoft Power Automate is essentially an automated sequence of actions that helps complete a task or process without manual intervention, mainly working across Microsoft apps such as MS Forms, Teams, and Excel. Power Automate flows are used to streamline business processes, eliminate manual data entry, and enhance productivity by automating repetitive tasks across applications. Flows are currently being used to collate data into one central place, send email reminders, request approvals, and write and send emails on an individual’s or team’s behalf.
The PS Service Efficiency and Effectiveness (PS SEE) team support PS Divisions and Faculty PS in the redesign of processes to streamline how we work, enhance service delivery and build a culture of continuous improvement. We are working with ITS to support greater Power Automate Flows transparency, reuse, support and innovation across the organisation.
We need your help - submit your flows
To kickstart this work, we’re beginning with data collection. If you have built any Power Automate Flows, no matter how large or small, we’d love to include them. Please use the Teams Form to submit details of the flows you have created. This will help us build an accurate overview and begin shaping the library.
Even if your flow is experimental, retired, or still evolving, we want to hear about it!
Why are we doing this?
Across PS and wider teams, colleagues are increasingly creating valuable Power Automate Flows to streamline repetitive tasks, reduce manual work and improve service delivery, saving time and effort. However, these solutions are often developed in isolation, meaning:
- great work isn’t always visible to others
- teams may be unintentionally duplicating effort
- opportunities for reuse or co‑creation can be missed
- ITS support is not in place
By establishing an internal library of the Power Automate Flows, we aim to create a shared repository that can:
- provide visibility of existing automated solutions
- learn what other teams are working on
- reuse and adapt flows to support services
- identify collaboration opportunities
- build a foundation for future governance and best practice.
Submit your flows

What happens next?
Once we’ve gathered the initial submissions, we will:
- compile a draft catalogue of current flows
- work with flow creators to confirm details
- begin organising the material into the new internal library
- identify potential risks
- develop of further guidance and governance as required
